




Event Booking Terms

MAIN TOURS

1. If a travel company is being used all its terms will apply.
2. The Club does not accept any liability for travellers’ costs outside its control.
3. The Club may decline any booking if it has reasonable grounds to do so, unless doing so would be illegal.
4. If any changes need to be made after the tour has been advertised every effort will be made to arrange equivalent (or better)
alternatives; if it is not possible to arrange an at least equivalent alternative then:

If a travel company is being used any recourse will be in accordance with its terms;

If a travel company is not being used any recourse will be at the Club’s sole discretion.
5. Refunds will be offered only:
-
If a travel company is being used – in accordance with its terms;
-
If a travel company is not being used:
i) If the tour is cancelled (unless the person booked had cancelled before tour cancellation);
ii) At the Club’s sole discretion, if someone booked cancels as a direct result of changed tour dates or the price being
increased or the content being substantially reduced (but not if the person booked had cancelled before such
changes or cancels more than one month after they are notified);
iii) At the Club’s sole discretion, if the place is re-sold to someone on a waiting list who otherwise would not have
been offered a place (not if there isn’t a waiting list and a place is sold after the cancellation (whether or not that
place is sold with the assistance of the person cancelling) and not because the target number of bookings is
reached or exceeded, but only if the maximum places that could be booked has been reached so as to generate a
waiting list of people who otherwise would be denied booking);
iv) The balance (but not the deposit) payment may be refunded if already paid in advance and the member cancels
more than one week before it is due.
6. Non-payment of balance by the due date:

If a travel company is being used the booking will be treated in accordance with its terms;

If a travel company is not being used, non-payment within one week may, at the Club’s sole discretion, be treated as a cancellation, without refund of deposit.
7. Travel insurance is the traveller’s responsibility; details should be notified when booking.
8. International travel is not included unless otherwise stated.
9. UK airport parking and pre-departure hotels are not included.
10. Destination airport transfers are included, but there is no reduction for travellers not using them. Private transfers (at the
traveller’s extra cost) may be organised for travellers choosing not to use the included transfers.
11. Breakfasts are included; other meals are included only as stated.
12. Wines are not included with meals unless otherwise stated.
13. Bar bills – all drinks other than included wines – are not included.
14. Bottled water is not included unless otherwise stated.
15. Gratuities are not included unless otherwise stated.
SHORT TOURS

alternatives; if it is not possible to arrange an at least equivalent alternative then any recourse will be at the Club’s sole
discretion.

ANNUAL DINNERS

The Club does not accept any liability for diners’ costs outside its control.

The Club may decline any booking if it has reasonable grounds to do so, unless doing so would be illegal.

Refunds will be offered only if the dinner is cancelled, or the ticket is re-sold to someone on a waiting list who otherwise would not have been offered a place. Partial refunds may be offered by the organisers, at their sole discretion, if the expected standard is not met.

Travel to and from the dinner is not included unless otherwise stated.

Bar bills – all drinks other than included wines – are not included.

Bottled water is not included.
